The American Heart Association (AHA) has an excellent opportunity for a Special Events Administrator in our Arlington, VA office!
Supports AHA events through the coordination of event logistics to include kickoff meetings and day of event -primary event focus Heart Walk with secondary responsibility for Lawyers Have Heart race.
Maintains accurate record keeping, correspondence and mailings, and sponsorship management
Maintains an adequate level of event material inventory
Meets regularly with area directors and volunteers to maintain open lines of communication to ensure event objectives are achieved
Supports Health Strategies including developing and leading the Greater Washington Region Health Strategies volunteer network.
Supports Marketing and Communications including managing social media account updates, event creation on Facebook/Twitter for designated accounts, and digital marketing for fundraising and health strategies efforts
Maintains a high level of customer service by responding to customer inquiries both internally and externally in a knowledgeable and timely manner regarding AHA related events
Maintains event management system on a daily basis including entering in received donations within a 48-hour time period and utilizing the database to create mailings, emails and reports on a regular basis as requested
Processes all event related data in event management system and ensure accurate record keeping and reconciliation
Effectively and accurately creates and prepares correspondence and documentation in a timely manner
Performs other duties as required to support event Directors/Sr. Directors, Vice Presidents and Senior Vice Presidents in goal-achievement
Assists in processing of incoming mail and ensures the integrity and security of donor information while adhering to the supports and ensures execution of National and Affiliate policies, procedures, standards, best practices, benchmarks and guidelines
Other duties and projects may be assigned to the role, which provide general assistance as needed to support the mission of the American Heart Association
Strong organization skills and the ability to multi task effectively in an energetic sales environment
Excellent computer skills in database programs PeopleSoft experience a plus as well as Excel, Outlook, Access and Web based databases
Accuracy in money handling and basic accounting practices
Ability to prioritize effectively and make sound decisions on critical tasks independently
Ability to work effectively with a multiple people in different roles and departments
Strong ability to self-manage personal workload adjusting priorities as needed and identifying when addition support, resources or training is needed to insure key tasks stay on schedule
Awareness of the overall business functions and the ability to identify potential issues that might impact company productivity or office function and address proactively

High school diploma, military or equivalent experience
1-3 years’ experience in an administrative support role, event coordinator role or related field
