The American Heart Association (AHA) has an excellent opportunity for a Learning and Development (L & D) Assistant in our SouthWest region Austin Office! The L & D Assistant supports the new hire process, fosters a learning environment, and assists the Sr Director HR in planning and implementing multiple regional and organizational-wide projects. The role requires forward-thinking and proactive approaches, much planning and organizing, implementation, and some facilitation, and serves as the point person for New Employee Orientation, Touch Points, HeartU, compliance, and non-exempt staff development for the region. This role requires broad systems experience or the capacity to quickly learn these systems.

Job duties:

  • Plan, coordinate, track, and lead implementation initiatives for the region. This includes responsibility for a significant piece of the New Employee Orientation (NEO) program, requiring the L & D Assistant to run and keep current the NEO Adobe Connect classroom, provide day-of-event assistance in the classroom, present HR specific portions of the content, administer orientation surveys, report survey results, and recommend NEO improvements/changes based on participant feedback. It also includes conducting and documenting Touch Points.

  • Assist in planning and implementing multiple regional and organizational-wide projects such as specialized trainings for leaders, precision onboarding for new hires, new training program launches, and custom-built team building and market-specific training.

  • Coordinate and set up all training programs in HeartU and Adobe Connect, ensure appropriate completion credit is given, and assist in marketing programs through various mediums like SharePoint and office communications.

  • Provide administrative support through scheduling meetings, managing expenses, developing and sending communications/announcements, arranging travel, processing invoices, researching and recommending vendors for anniversary gifts, and other duties as assigned by supervisor.

  • Manage M.O.R.E. Mentoring program for region.

  • Track and communicate the completion of compliance and required leadership training.

  • Support new hire process through ordering background checks, processing New hire Provisioning forms and reassigning I9 forms.

  • Respond to staff and management inquiries regarding HeartU (SkillSoft), Workday, Adobe Connect, and candidate status.

  • Other responsibilities as assigned.


  • High school diploma or GED equivalent required, some college preferred

  • 2 years of related experience in a fast-paced environment.

  • Requires initiative, independent judgment, and decision-making skills

  • Excellent written and oral communication skills.

  • Experience in travel planning, expense entry/management, and other administrative tasks.

  • Excellent knowledge of MS Office products is preferred. Outlook, Word, Excel, and PowerPoint intermediate experience required. (MS Office Skills are subject to testing.

  • Public speaking and facilitation skills.

  • Skill in properly handling confidential and sensitive information with tact and discretion.

  • Ability to collaborate with staff at all levels of the organization, as well as, build and maintain relationships.

  • Ability to work nights and weekends, when needed.

  • Preferred experience with Adobe Connect, Workday, and Skillsoft (learning system.

  • Must have the ability to lift at least 10 lbs. from the ground to waist level with or without reasonable accommodation.
