Responsible for managing business operations support and facilities in order to provide finance, human resources, customer service and business technology services throughout the assigned region. Responsible for supervising administrative support staff that maintain office equipment, supplies, business records and assist with scheduling and arranging facilities for meetings, events, or project related activities.
Essential Job Duties
Manages and maintains physical offices including equipment, supplies, and support functions such as finance, human resources, business technology, and customer service in order to provide a safe and secure work environment.
Provides direct management for 2 of more regular, full time equivalent staff. Hires, trains, evaluates and motivates administrative team providing support in human resources, accounting/finance, donor/volunteer database management, printing, and marketing materials or other office functions.
Manages revenue and expenses in relation to office support activities, event planning and management, travel, awards and recognition, or related materials and supplies. Budget analysis and decision making required, above and beyond reporting. Manages ongoing vendor relationships, processes invoices, participates in budget planning and reporting.
Performs basic onboarding of new employees to provide orientation to services, collect new employee documentation, and introduction to policies and procedures
Place orders for office supplies, manage storeroom, custom-order cultivation awards and materials, order and distribute branded marketing materials, and maintain inventory.
May provide vendor management or on-site oversight of event logistics including transportation, technical support, site preparation, etc.
May provide vendor management or preparation for meetings or office events including material preparation, presentation services, invitation/RSVP management, etc.
High School Diploma or Equivalent
5 years of experience with broad business operations policies and procedures
5 years of experience managing to budget including processing invoices, income and expenses
5 years of experience managing external vendors in a wide range of services
Proficient in Microsoft Office applications
Proficient with accounting procedures and automated financial systems
3 years of experience supervising employees
