The American Heart Association (AHA) has an excellent opportunity for an Executive Assistant in our Denver office . This position will work closely with the Senior Vice President (SVP) of Colorado and Vice President of Development while performing highly advanced professional assistance work as well as supervise the Receptionist. Work may involve supervising and/or coordinating the work of other clerical workers. Works under limited to minimal supervision with considerable to extensive latitude for the use of initiative and independent judgment.

Essential Job Duties

  • Provides administrative and technical assistance to an executive(s) in Denver.

  • Coordinates calendars, meetings, and other activities on behalf of the executive.

  • Plans and prepares, or supervises the preparation of weekly, periodic and special development reports.

  • Prepares logistics, notices, agendas and materials for meetings.

  • Supervise the receptionist/office coordinator to ensure the office functions smoothly and administrative tasks are accomplished as assigned.

  • Interprets policies and procedures and makes administrative decisions.

  • Advises the executive on administrative matters within the SWA.

  • May plan, assign, and review work of technical and administrative support staff.

  • Assists in budget preparation and management.

  • Assists in expense reporting/administration of the executive’s expense account.

  • Arrange corporate events to take place outside of the work place, such as volunteer or staff appreciation events.

  • Uphold a strict level of confidentiality.

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.

  • Make travel arrangements.

  • Graduation from an accredited four-year college or university with major course work in a field related to program area is generally preferred. Education and experience may be substituted for one another.

  • 4+ years of progressively responsible experience providing administrative support for a manager or multiple managers.

  • Experience in office practices, administrative support, or the technical program area.

  • Knowledge of accepted business practices and procedures; of applicable rules, regulations, and policies; and of related legislative and legal practices and procedures.

  • Ability to communicate effectively, to handle high level administrative issues, to analyze and solve work related problems, and to assign and/or supervise the work of others.

  • Proven background and willingness to work in atmosphere requiring flexibility and change as well as the ability to work irregular hours including attending evening and weekend meetings or events.

  • Ability to lift 20lbs from ground to waist level with or without reasonable accomadation.

  • Intermediate knowledge and skill with Microsoft Office used for word processing, e mail, presentations and a dvanced knowledge and skill with these programs, is preferred. Skill test completition will be required.

  • Must be at least 18 years.
