The American Heart Association office in Memphis, TN has an opening for a Development and Event Specialist . Incumbent will report to the Executive Director and be responsible for the overall organizing of high-level fundraising and donor events with back-up support on community outreach events. Candidate will be responsible for the logistics and donor recognition at five core campaigns throughout a 12-month cycle, in addition to ancillary donor cultivation events throughout the year. The five core campaigns are : Mid-South Heart Ball, Heart Walk and Go Red for Women Luncheon, as well as the West TN Heart Walk and Go Red for Women Dinner (Jackson, TN), Additional responsibilities include, negotiating and procuring services from vendors, securing venues, project oversight for deliverables from outside vendors,budget tracking, assisting with the creation of promotional materials, obtaining in-kind donations/auction items, sponsorship fulfillment, and interacting with board members, corporate sponsors, executive committee members, and individual donors. This team member will also serve as back-up support in the absence of the Development Event Specialist and Accounting Liaison, including campaign related financial and donor tracking.
Primary functions to include :
Development and Fundraising Support:
Develop campaign plans, facilitate event execution and implement post-event wrap-up remaining fiscally responsible with donor dollars for five core campaigns
Working with fundraising directors to activate and facilitate sponsorship tracking and fulfillment
Responsible for facilitating the creation and ordering of collateral and print materials, banners, invitations,
Collaborate with fundraising directors to coordinate event run of show, production needs, including entertainment, speakers, scripting,
Planning of event and / or meeting logistics (i.e.: securing venue, decorations, food, reviewing vendor contractsandproof of insurance, van/truck rentals, permits, vendor negotiations, day-of direction and management,)
Recruiting, training and managing our valued volunteers.Building relationships with volunteers and providing consistent communication to ensure volunteer retention
Securing auction items and in-kind donations
Supporting fundraising directors with coordinating all campaign leadership meetings and ancillary donor recognition events.
Supporting all development efforts in the territory taking the lead in managing and implementing donor stewardship programs
Position will require periodic travel throughout the designated markets
Ensure campaign websites and market website are up to date with volunteer officer information, as well as appropriate sponsor logos and listings
Facilitate campaign mass mailings, such as Save-the-Dates, Invitations and Proof-of-Donation letters
Support Back-up to Accounting Liaison with cross training and profiency in the following:
Responsible for intake, recording, accounting, tracking, budgeting, and appropriating revenue and expenses for Affiliate field office events and general donations
Weekly campaign reporting, aging reports, invoice submissions and campaign reconciling to Executive Director and Development Directors
Serve as field office back-up with all finance and data tracking software platforms to ensure consistent accuracy

Some college or a Bachelor’s degree preferred
2-5 years' prior event planning and/or non-profit experience preferred
2 years’ experience with donor relations and sponsor activation experience preferred
Ability to recruit and train office and day-of-event volunteers
Excellent computer skills with a proficiency in Microsoft Office programs, including Excel and Outlook
Ability to prioritize and handle multiple tasks/detail oriented in a high pace work environment
Ability to work independently and sometimes irregular hours
Ability to lift 20-30 pounds
Ability to travel periodically throughout the surrounding assigned territory
