Responsibilities

The American Heart Association (AHA) has an excellent opportunity for a Temporary Administrative Associate position in our San Antonio office(February 10 th through March 6 th , 2020). This position will assist with all duties needed for the execution of the Vestido Rojo Women's Conference on.

Essential Job Duties:

  • Planning and Logistical Execution of Vestido Rojo

  • Tracks attendance, prepares presentation materials, arranges logistics and post-follow up, set up and actively participate in committee planning meetings (i.e., order meals, arrange room, facilitate AV needs, greet and help to host attendees, etc.)

  • Community Impact Sponsor Activations

  • Assists with planning and facilitation of all sponsor activations within the community with identified partners

  • Provides oversight of related logistical details and attends associated events as needed to help execute

  • Data Maintenance

  • Learns and correctly utilizes required software programs (i.e., Greater Giving, Magnolia Clipping Service_

  • Prepares, edits, and distributes correspondence, reports, forms, and documents

  • Performs daily searches for media coverage and save relevant material on division shared drive

  • Vendor Coordination

  • Obtains proper vendor paperwork and submits to appropriate parties

  • Ensures vendors receive correct and updated information from AHA

  • Coordinates with vendor during the event

  • Volunteer Recruitment and Coordination for Events

  • Reaches out to volunteers and/or groups

  • Maintains a volunteer database with contact information

  • Coordinates times and positions for volunteers

  • Communications

  • Assists in coordinating media interviews

  • Greets/shepherds media onsite at event(s)

  • Checks daily for media coverage of Vestido Rojo, GRFW Summit, and/or general Heart Month activities

  • Manages presentation materials pre-event and oversees formatting into final version

  • Receives MC at event(s) and handles all related logistical details

  • Creates photography shot lists and manages onsite photographer

  • Manages onsite social media

  • Prints scripts and event RoS; compiles media kits

Qualifications

Skills Needed:

  • Ability to comfortably navigate Windows operating system

  • Ability to quickly learn new and complex software - experience with Greater Giving or similar nonprofit fundraising software is a plus

  • Ability to focus on a detailed, potentially tedious task for several hours while ensuring quality and accuracy

  • Ability to follow detailed directions

  • Commitment to complete and accurate data, as well as accurate spelling/grammar

  • Ability to interface with external and internal customers in a friendly, professional manner via phone or email

  • Intermediate Microsoft Word skills (mail-merging knowledge is a plus)

  • Basic Microsoft Outlook and Excel skills

  • Office administration skills, including general clerical skills (e.g., basic computer knowledge, email etiquette, email organization, filing, typing, copying, telephone etiquette and office operations.

  • Ability to work in a team environment (e.g., effective interpersonal and customer relations skills)

  • High school diploma or GED equivalent required

  • Must have the ability to lift at least 20 lbs. from the ground to waist level with or without reasonable accommodation

  • Bilingual speaking abilities are strongly preferred
