American Heart Association Executive Assistant / Donor Relations Coordinator in Tempe, Arizona

The Donor Relations Coordinator is an integral part of the staff team who partner with an expansive, socially influential volunteer leadership committee that drives the Heart Ball. Reporting to the Business Development Director, the Coordinator provides expert administrative support to the staff team and the work of the Heart Ball Committee, ensures that all the details for flawless execution are organized behind the scenes and effectively communicates across audiences with professional finesse to create excellent customer experiences.

Specific responsibilities include:

  • Detailed data management and reporting utilizing AHA customer relationship management (CRM) systems and internal documents

  • Maintains the sales report for ongoing campaign revenue tracking and reporting

  • Maintains the Heart Ball website and event information

  • Event administrative management and support including maintaining invitation list, guest information, invitations and programs, supplies, day-of event support and auction coordination

  • Prepares and maintains collateral for the Heart Ball and associated meetings and events

  • Provides detailed administrative support including meeting coordination; expense report management; pledge forms; preparing communication, reports and presentations

  • Supports donor cultivation efforts of Business Development Director and Executive Director

  • Prepares handwritten correspondence and other communication with professional etiquette

  • Anticipates and meets needs to ensure that campaign plans stay on track with timeline and budget


  • Track record providing expert administrative support with high level of comfort working with multiple managers

  • Proficiency in Microsoft Windows Programs (i.e., Word, Outlook), database management and basic graphic software (e.g., PowerPoint and Publisher, etc.)

  • Office administration skills, including general clerical skills.

  • Effective written communication skills, including skill in proof reading for grammar and spelling, and ability to write proposals and professional correspondence.

  • Effective interpersonal skills and ability to maintain a professional, friendly manner in all interactions with internal and external customers.

  • Ability to keep all work-related information confidential as necessary.

  • Knowledge of graphic layout programs a plus.

  • Results oriented phone solicitation and follow-up for assigned projects.

  • Demonstrated ability to organize and manage multiple projects, prioritize tasks and meet deadlines.

  • Demonstrated ability to communicate on a regular basis with internal and external partners on projects as needed.

Preferred qualifications include:

  • Knowledge of the AHA’s standards and procedures.

  • Experience in a non-profit organization with responsibility for volunteer and donor engagement.
